Event Check-in Protocol

Does your event location have at least two points of entry/exit?

  1. YES – one door should be identified and labeled as the entrance, and one as the exit to reduce the amount of congestion entering/exiting an event
  2. NO – measures should be taken to ensure guests do not get bottlenecked at entry points resulting in a physical distance of less than 6 feet

How will event attendee information be gathered?

  1. Registration, Rsvp or Ticket process (strongly encouraged)
    1. Make sure that the first and last name and at least one form of contact information is gathered (preferably email address and phone number)
    2. Keep this information easily accessible for reference if contacted by a contact investigator/tracer
    3. Onsite at the event, track who shows up and who does not show up, in order to have actual event attendance results
      • Keep in mind that congestion at check-in should be avoided; have processes in place that expedites entry and limit contact
  2. Open invitation
    1. If no registration, Rsvp or ticket process is in place, attendee information must be gathered on-site. In an effort to reduce check-in congestion, consider the following:
      • Staggered times of entry to reduce the number of individuals entering at onetime
      • Contactless check-in options
        • Scan student IDs
        • Name and contact information is given verbally by the guest to event staff which records the data (repeat information for verification), eliminating the need of using shared writing utensils or forms
        • Consider forgoing name tags to eliminate shared contact
      • Schedule ample staff to assist with check-in to expedite the process
    2. Make sure that the first and last name and at least one form of contact information is gathered (preferably email address and phone number)
    3. Keep this information easily accessible for reference if contacted by a contact investigator/tracer
